The name of this organization shall be Epic-Glee of SUNY New Paltz and as such is considered, in any part or its whole, a public body.
Article II: Purpose
The purpose of this organization is to provide an environment for people who wish to perform musically with their peers, and to entertain the student body on the campus of SUNY New Paltz with regular performances.
Article III: Membership
All students who are matriculated at SUNY New Paltz and who are granted admission based on an audition shall be members of Epic-Glee.
Membership in Epic-Glee guarantees:
1. Participation in events sponsored by the Epic-Glee. (i.e. Performances)
2. Participation in general elections.(Songs, solos, and E-Board)
3. The right to apply for any chair position(s) within in the group.
Article IV: The Executive Board
The Executive Board shall function as the primary administrative branch of Epic-Glee
The Executive Board shall be composed of the following officers:
1. 2 Co-Directors (Changed from President/Vice President Sept 2010)
2. Musical Director
3. Treasurer
4. Secretary
5. 2 Choreographers (Add May 2012)
Duties and responsibilities of the Executive Board shall include:
Co-Directors: To run rehearsals, chair all elections, run board meetings, and oversee the work of all other positions. Also acts as points of contact for special performances and interaction with other student clubs, college departments, and so forth. Members of the Audition Panel.
Musical Director: To teach vocal music to the group, arrange vocal music for the group, oversee Section Leaders, help run rehearsals. Member of the Audition Panel.
*If the Musical Director so chooses, she or he is allowed to appoint a Musical Coordinator to assist in any duties necessary. The Musical Coordinator will be treated as a chair position but may sit in on E-Board meetings if necessary. (Est. December 2012)
Treasurer: To collect and be responsible for Activity fees and the group budget as a whole. Attends BFC and Programming board meetings and presents proposed budget on behalf of the group. Handles T-shirt ordering.
Secretary: To document rehearsal schedule, keep minutes for board meetings and rehearsals, handle T-Shirt Ordering, and FUSE spaces. Also is in charge of public relations and webmaster duties if neither chair is appointed by Executive Board. If appointed, the Secretary oversees the Public Relations and Webmaster chairs.
Choreographers (2): To be responsible for choreographing dance material, teaching the material to the group, and providing additional aid to members who require it. The status of this position as an E-Board will depend on the membership status of those elected. (Added April 2012)
*If the choreographers so choose, they are allowed to appoint a dance captain(s) to assist in any duties necessary. The dance captain(s) will be treated as a chair position but may sit in on E-Board meetings if necessary. (Est. December 2012)
To impeach a position, follow SA guidelines. SA guidelines state that a unanimous decision is needed to remove any person from their position, however should the Co-Director find someone unfit to continue service, and it has been addressed to the person before, the Co-Director can remove a person from their position. This is only to be done once the Co-Director has spoken to said Board Member and they continue to fail to meet expectations.
Article V: Chair Positions
Public Relations: To take pictures documenting rehearsals, update website, create flyers, and spread group awareness. This position can be dropped or added at the discretion of the current Executive Board.
Webmaster- To maintain all internet-related aspects of the club; such as promotions, the official website, Facebook, YouTube, etc. Assists the Secretary with public relations. This position can be dropped or added at the discretion of the current Executive Board.
Section Leaders (1 per section): To run sectional rehearsals, take attendance for their section, and keep musical director up to date about the section’s progress.
Article VI: Terms of Office
The term of office for the Executive Board shall be the one (1) year.
All chair positions shall be appointed every semester by the Executive board. Members must apply to be considered for chair positions.
Article VII: Meetings
The Executive Board shall meet at least once every week and as conditions warrant.
Rehearsals shall be on Sunday, from 12-3, and Monday, from 6-9. Both rehearsal days can be extended at the discretion of the Co-Director(s) and Musical Director.
Each section MUST meet with their section leader once a week as a third rehearsal to brush up on music as to keep rehearsal times focused on the entire ensemble.
Article VIII: General Elections
The General Election of officials shall occur in the following manner:
At the end of every semester, the Co-Directors will hold an election for the available positions.
Requirements for elected positions:
1. All candidates must be members of Epic-Glee.
2. All elected officials must be in good academic standing.
3. The Positions of Co-Director and Musical Director can only be held by members who have one (1) year experience in the group.
The position of section leaders is to be appointed by the Executive board, in a fair application process laid out by the current Executive Board which all other chair positions must complete as well.
Article IX: Auditions
In order to join Epic-Glee, it is mandatory that the member audition, and be selected to join.
To audition, each auditioned party will go through a preliminary audition in which the candidate sings a solo piece of their choice for the audition panel. The panel will use this preliminary audition to select candidates to “call back” for the remainder of the audition process. For the “call back” portion of the audition the candidates will be taught a piece of a 4 part selection and they will sing in quartets. Then, they will be required to sing a second solo piece. This part of the audition process shall essentially be a sit-in on an Epic-Glee rehearsal. The candidates will also be taught a dance selection and will perform it in groups after they learn and practice it. During this portion of the audition the auditioned persons will be judged on integration into the ensemble as well as their ability to pick up the music and choreography.
Article X: Amendments
Amendments to the Constitution proposed for ratification by a vote of the members may be placed on a special election ballot by either of the following methods:
1. A petition signed by fifty percent (50%) of the total membership may be submitted to the Co-Director.
2. Any member of the Executive Board may submit an amendment to the Constitution for review by the group. It shall require a two-thirds (2/3) majority of those members present in order to be placed in a constitutional election.
All constitutional amendments shall be placed before the group members within one week of receipt by the Co-Director or by the end of the given semester.
For any proposed constitutional amendment to be ratified, at least seventy-five percent (75%) of the members must cast ballots on the constitutional proposition. Of the ballots cast, a ¾ majority will ratify the proposed amendment to the Constitution.
An amendment can clarify something not laid out in the constitution, or add something not in it. However, no amendment should fundamentally change the purpose of the group.
Article XI: Activity Fee
In order to obtain music more quickly there will be an activity fee of $10 per member, per semester. This will be put to a common account. Should the music prices be approved by SA, all reimbursements will be put back into the account. If not approved, it will be used to pay for music. Dues can be put towards other club expenses, such as costumes, travel expenses, or other group activities approved by the Executive board.
Article XII: Leave of Absence
A member may request a leave of absence at anytime they do not have the time to commit to the group. Members on a leave of absence are allowed one full semester to take leave, regardless of the amount of shows missed within the given semester. However, if they fail to return the following semester they lose their status as a member. This also applies to those who study abroad and wish to return to the group the semester they return. Even if the member in question requests a leave of absence, they would still need to perform for Re-Auditions in the Spring, to secure their position for the next Fall. In the event that someone on a study abroad leave is unable to re-audition during the Spring, that person will be allowed to re-audition at a later time, whether it be for the panel during the summer or at the beginning of the next Fall Semester. Article A: Re-auditions (Est. May 2012)
At the end of every Spring semester, an audition panel voted on by the group at large will serve as a group to re-evaluate the membership status of all individuals within Epic-Glee. They will listen to a piece of music ALREADY PERFORMED by the group in 4 part harmony (or more). Re-auditioned members will also be expected to ‘perform’ a dance combination for the panel. Membership status will be based on these two components, as well as rehearsal decorum and solo potential.
